This policy describes how PATTERSON HOPKINS (‘we’ or ‘us’) collects, stores, uses and discloses personal information and data collected by us.

Collecting personal information

Personal information is any information that relates to an identifiable individual.

We collect and store personal information for the purpose of conducting our business, to market our services and to meet our legal obligations, including in relation to our privacy and anti-money laundering compliance obligations.

Depending on the nature of your relationship with us, we may collect the following personal information about you:

  • Phone number

  • Date of birth

  • Work information (such as job title, company and location)

  • Billing information (such as address for service and bank account details)

  • Copies of your identification (such as passport and driver’s license)

Providing some information is optional. However, if you do not provide us with certain personal information, we may not be able to provide our services to you.

Using personal information

We collect your personal information in order to:

 

  • If you are a client, engage you as a client of the firm and provide our services to you

  • Check legal or commercial conflicts

  • When you apply to be employed, or contracted, by us, for recruitment, employment and contracting purposes

  • Comply with our legal obligations, including CRS or FATCA reporting obligations and comply with anti-money laundering and countering financing of terrorism legislation

  • Carry out our internal business and administrative purposes

We will not use or disclose any personal information for any other purpose without yourconsent, unless we are required to do so by applicable law.

Disclosing personal information

We may disclose your personal information for the purpose of complying with our legal obligations, providing legal or other services to you, or as otherwise stated at the time of collection. We will not disclose personal information, except in accordance with the law.
In addition to our staff members, we may disclose your personal information to third parties who:

  • Perform checks that are necessary under law on our behalf

  • Provide services and perform functions on our behalf; and

  • Maintain databases against which your identity may be verified (this may include overseas recipients). We will take reasonable steps to ensure that any overseas recipient does not breach relevant privacy law.

We may also disclose your personal information to the courts, tribunals and regulatory authorities, and anyone else you authorise us to disclose personal information to.

Access to personal information​

Your information will be held by us physically (at our secured premises) and may also be held electronically on our server or cloud-based platform (requiring logins and passwords).


You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong.
